AI Chat Assistant

Our website offers an artificial intelligence (“AI”) chat assistant (the “AI Chat Assistant”). You are interacting with software, not a Tacoma Screw employee. The AI Chat Assistant will identify itself as AI at the start of each conversation and any time you ask.

Availability. The AI Chat Assistant is available to signed-in customers only.

What We Collect in Chat. From your interactions with the AI Chat Assistant, we collect the messages you type, the AI Chat Assistant's responses, timestamps, and technical session data. If you are signed in, we also associate the conversation with your account so the AI Chat Assistant can reference relevant context such as your account number, default branch, and order or product details you ask about.

How We Use the AI Chat Assistant. We use the AI Chat Assistant to answer your questions, to route you to the correct Tacoma Screw employee, to review conversation quality and accuracy, including by automated means, to monitor for misuse and safety issues, and to improve the AI Chat Assistant and our Services.

Third-Party AI Processing. Conversations with the AI Chat Assistant are processed by a third-party AI service provider that generates responses on our behalf under a written agreement. That provider acts as our service provider and is not permitted to use your conversations for its own purposes, including training its models. Some of the Services and your interactions with the AI Chat Assistant are subject to the terms and conditions of our third-party AI service provider.

Retention. Chat data is deleted 90 days after a conversation's last activity. The transcript, the name, the email associated with your conversation session with the AI Chat Assistant, any escalation handoff record, our automated quality review of the conversation, and the related technical telemetry are all deleted together. We do not keep an archive. See the Data Retention section of this Privacy Policy.

Handoff to a Tacoma Screw Employee. If your question needs attention from a Tacoma Screw employee, or you tell us something on our website or app is not working, we may forward your conversation, or a summary of it, together with your contact information or other Personal Data, to the appropriate employee of Tacoma Screw. A copy thereof forwarded to a Tacoma Screw employee will be retained in that employee’s email and is retained in accordance with our normal email retention policies, separate from the 90-day retention period described above.

Do Not Submit Sensitive Information in Chat. Do not enter payment card numbers, bank account details, Social Security or other government identification numbers, health information, passwords, or any other Sensitive Personal Data to the AI Chat Assistant. If it is necessary for you to provide any such information, use our secure checkout service or contact us using the information provided in the “Contact Us” section below.

The AI Chat Assistant can be wrong. Responses are generated automatically and may be incomplete or inaccurate. Nothing the AI Chat Assistant says is conclusive or binding on Tacoma Screw, and, without limitation, shall not constitute a binding quote, offer, price or availability guarantee, nor engineering, safety, or compliance advice. Confirm anything that matters with a Tacoma Screw representative using the information provided in the “Contact Us” section below. See our Terms of Use and Conditions of Sale.

Your privacy rights described below apply to data collected from your interactions with the AI Chat Assistant in the same manner as any other Personal Data subject to this Privacy Policy.

Data Retention

Tacoma Screw retains Personal Data for as long as reasonably necessary to fulfill the purposes for which it was collected, including to provide and administer our Services, maintain business and transaction records, communicate with you, comply with legal and regulatory obligations, resolve disputes, enforce our agreements, and protect our rights and interests.

The length of time we retain particular Personal Data may vary depending on the nature and sensitivity of the information, the purposes for which it was collected and used, our ongoing business needs, applicable legal, regulatory, tax, accounting, and reporting requirements, and whether the information is necessary to establish, exercise, or defend legal claims.

When Personal Data is no longer reasonably necessary for the purposes for which it was collected or otherwise required to be retained, we may delete, destroy, deidentify, or otherwise dispose of it in accordance with our applicable policies and procedures and applicable law.

In some circumstances, Personal Data may remain in backup, archival, or other systems for a period of time after we have deleted it from active systems. Where this occurs, we will maintain and protect the information in accordance with our applicable information-security practices and will delete or otherwise dispose of it in accordance with our retention and deletion procedures.
